[A] Budget: Looking for Proposal

[B] Scope of Service:

(1) Vendor needs to provide property management services to the government authority located in San Antonio, TX.
- Property manager shall consult with owner and keep owner advised as to all material or extraordinary matters and decisions affecting the property and shall at all times maintain organization, systems and personnel sufficient to enable it to carry out all its duties, obligations and functions,
- Property manager shall, and shall cause any party retained by it or its affiliates to implement the matters set forth in the budget and/or other management and operational activities with respect to the property,
- Starting in fiscal year 2020 and annually thereafter, timely prepare and deliver to owner the line items of the budget for the subsequent fiscal year for which the property manager is responsible, property manager shall review the complete budget for fiscal year 2021 and annually thereafter,
- On a monthly basis, timely review property disbursements to third party service providers and deliver to owner suggested disbursement reclassifications and disbursement accruals to account for disbursements incurred but not yet paid,
- On a monthly basis, timely review property receipts and reports in conjunction with property rent roll and deliver to owner any suggested billing changes and updates,
- On a monthly basis, timely review property operating statements and deliver to owner comments on the variances between budgeted and actual amounts for line item categories for which the property manager has knowledge and control,
- Review, approve, and assign, in a timely manner, proper account coding and description to vendor invoices utilizing an electronic invoice workflow system administered by owner,
- Exercise all reasonable efforts to switch the payment method of a tenant from check to an electronic form of payment, including, but not limited to, direct debit or electronic funds transfer,
- Except for properties where the services are a tenant responsibility, maintain all data circuit/phone lines and provide owner with details for such lines, including the phone number and circuit ID and primary use, and record any fire and life safety phone lines that are not the responsibility of a tenant to track that such lines are properly maintained and transitioned,
- Supervise, in coordination with owner, any third parties engaged by (or on behalf of) owner in accordance with this agreement.
(2) A non-mandatory pre-proposal conference will be held on September 18, 2019.
(3) All the questions must be submitted no later than September 20, 2019.

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
