Vendor needs to provide conversion services of documents to microfilm
- The Department of Records shall send the images via TIF files electronically or by flash drive. The files shall be in separated folders labelled by the recording date.
- The Department of Records shall supply to the seller with TIF files which will be sent electronically or by flash drive.
- Microfilm that is approved for destruction will be collected by the seller two (2) to four (4) times a year.
- Film destruction (shredding) is completed at the seller’s facility.
- Upon completion of emulsion removal, PET plastics will be free of data and chemical and shall be disposed of in single stream recycling.
- Seller shall remove all film media shall be removed from boxes, cartridges, and/or reels before disposal. Boxes and labels containing identifying information will be maintained for documentation purposes. All identifying information will be referenced on the Certificate of Destruction. Certificate will be generated in lots of fifty (50) rolls.
- Seller shall use all reasonable precautions to safeguard waste while in transit; ensuring access to the waste is limited to only authorize personnel and transport microfilm to a secure production area.
- Film shall be disposed of in a secure and environmentally friendly manner.
