[B] Scope of Service:

(1) Vendor needs to provide picking up, digital scanning, capturing index values into a database in a searchable format and disposal of the documents.
• Scanning plan set stored flat up to 24 x 36.
• Scanning plan set stored flat larger than 24 x 36.
• Scanning plan set stored rolled or folded up to 24 x 36.
• Scanning plan set stored rolled or folded larger than 24 x 36.
• Scanning letter/legal size contents of specification books and owner manuals.
• Scanning ledger size contents of spec books and owner manuals.
• Scanning larger than ledger size contents of spec books and owner manuals.
• Indexing building name, number, A-number, project number, year and type.
• Preparation for moving documents:
o Packaging and labeling of contents of flat files.
o Packaging of spec books and owner manuals including supplying boxes.
o Loading and transfer of materials.
• Shredding and disposal of scanned documents.
- Agency estimates the volume of documents to be:
• 750,000 documents to scan.
• 20,000 documents to scan.
• 30,000 large format documents to scan.
(2) A pre-bid meeting will be held on April 19, 2022.
(3) Contract period will be one year.

Performance of the work will be Offsite. Vendor needs to carry work in their office location.
