[*] Scope of Service:

(1) Vendor needs to provide scanning support services to scan and/or index various plans and documents for loading into the Department’s Document Management Database.
- A Project Manager will be assigned to oversee each scanning task. The Project Manager will be knowledgeable concerning the variety of documents to be entered, scanned, the index values to assign, and the document types
- Collect folders of documents from the box or location identified for delivery to the Scanning Technician and take them to the dedicated workspace where all scanning work will be performed
- Digital format documents will require indexing only, and not scanning
- Some documents will be in digital/electronic format (PDF, JPEG etc.) instead of paper format
- The Scanning Technician(s) may be expected to assist with data preparation activities (sorting, filing, document review, classification of documents) as needed and under the direction of the Project Manager or Task Leader
- After scanning, review each document on-line for quality control
- Using scanning software, create batches of related documents and assign required index value(s) to the batch of documents
- Once a document batch is scanned and/or indexed and quality control is complete, commit the documents to permanent storage on the Planning Department’s server/storage system
- Either return scanned documents to the originating office or box them for permanent off-site storage.
(2) All questions must be submitted no later than October 10, 2023.
